Job Title: Document Image Specialist

Report to: Document Imaging Manager

Job Summary
Configure loan and department documents according to defined procedures. Perform importation and indexing of multi-function documents according to defined procedures. Perform quality review of indexed documents according to defined procedures.

Primary Accountabilities

The accountabilities of this job are as follows:

  • Configure loan documents into imaging software.
  • Index department documents into the imaging software.
  • Assist with the importation and indexing of the multi-function documents.

 Secondary Accountabilities  

  • Back up and support Document Imaging Scanner Operator(s).
  • Assist with administrative functions related to Document Imaging Department as needed.
  • Assist with quality review of scanned documents.
  • Assist with maintaining department filing system.
  • Assist end-users with general system usage.

  • Two years post-secondary education or equivalent experience in a banking environment.
  • Sight recognition of loan documents is required.
  • Sight recognition of standard bank documents.


Performance Measures

The performance measures for this job shall be those established in the incumbent’s current Performance Planning and Appraisal Program.  The Primary Accountabilities in this job description together with the incumbent’s established performance measures serve as the vocational objectives.  If you are just entering this job, you and your supervisor will meet within the first two weeks of your employment to establish your performance measures for the current year.


Hardware and Software Requirements

The hardware and software required to do this job are as follows:

  1. Hardware:
    1. Telephone;
    2. Personal Computer; and
    3. Multi-function Copy Machine, Facsimile Machine, Printer, Document Imaging Equipment, and other basic office equipment; and


  1. Software:
    1. Microsoft Office Products (including Word and Excel)
    2. Core Banking System; and
    3. Document Imaging Software.


Exertion/Physical Requirements

The exertion and physical requirements of this job are as follows:



  1. Moving objects weighing up to 30 pounds;
  2. Sitting at 80% of the work day;
  3. Standing as much as 10 percent of the work day;
  4. Walking approximately 10 percent of the work day;
  5. Placing objects on and removing objects from shelves;
  6. Dexterity and Coordination;
  7. Reading;
  8. Oral and Written (including Typing) Communication; and
  9. Listening and Hearing.
